Knowledge Agent in SharePoint: Finally, Help With Keeping Our Content in Shape

On 18 September 2025, Microsoft introduced a set of collaboration-focused agents across Teams, SharePoint and Viva Engage. The one I am most excited about is the Knowledge Agent in SharePoint.

1️⃣ The problem every intranet has

Every SharePoint environment I have seen has the same issues: missing metadata, outdated pages, broken links and content nobody owns anymore. Everyone knows it should be fixed, and nobody has the time.

2️⃣ What the Knowledge Agent does

  • Helps tag and classify files by filling in metadata automatically.
  • Helps organise content in libraries.
  • Checks content freshness and finds broken links.
  • Points out gaps in the content.
  • Suggests changes you can review and approve, so you stay in control.

In other words, it does the content maintenance work that normally falls between the cracks.

3️⃣ The other collaborative agents

  • Facilitator in Teams meetings helps with agendas, notes, decisions and follow-ups.
  • Project Manager turns goals into plans and tracks tasks.
  • Agents in Viva Engage communities help answer questions and keep discussions useful.

Most of these started in public preview, so this is the right moment to test them with a pilot group.

Why this matters for Copilot

I say it in almost every workshop: Copilot is only as good as the content it can find. An agent that helps keep SharePoint organised directly improves the answers Copilot gives in Teams, Outlook and Word.

My take

Most AI announcements are about creating more content. The Knowledge Agent is about taking care of the content we already have. For many organisations that is exactly where the biggest value is hiding.

Which SharePoint site in your organisation would you give to the Knowledge Agent first? 😄
